Position Overview
The Administrative Assistant will provide high-level administrative and technical support, assist with regulatory documentation and reporting processes, and maintain both electronic and physical records systems.
The ideal candidate is dependable, detail-oriented, and comfortable navigating multiple state and federal reporting platforms.
Key Responsibilities
Administrative & Clerical Support
Prepare reports and respond to information requests
Draft professional correspondence
Welcome visitors and coordinate meeting logistics
Arrange conference calls and schedule meetings
Regulatory & Database Management
Manage presurvey packets, FOIL requests, waiver tracking
Maintain facility roster and mortality databases
Track incident reports and surveillance activities
Utilize ASPEN and ACO systems for surveillance reporting
Track complaints and post Statements of Deficiency (SODs) and related letters
Perform secure file transfers through HCS
Complete CMS uploads and generate QIES CASPER presurvey reports
Prepare Life Safety Code reports
Process 2803d abuse case documentation to DLA
Track CAN training programs and emergency response requests
Documentation & Records
Prepare survey, complaint, and PSR letters
Close complaints and maintain complaint tracking logs
Perform detailed data entry
Maintain organized paper and electronic filing systems
Ensure program information boards, log books, and ACO/ACTS systems remain current
What We’re Looking For
We are seeking a professional who:
Works well independently and collaboratively
Can manage multiple shifting deadlines
Has strong organizational and reporting skills
Demonstrates excellent grammar, punctuation, and written communication
Maintains accuracy in high-volume data entry
Is comfortable navigating regulatory systems and databases
Minimum Qualifications
Minimum 5 years’ experience working for the New York State Department of Health
High School Diploma or equivalent
At least 2 years’ experience in a professional office setting
Advanced proficiency in Microsoft Word, Excel, and SharePoint
Ability to enter, extract, and manage data within electronic databases
Strong organizational skills and ability to compile detailed reports
Preferred Qualifications
Microsoft Office certification
Experience using ASPEN, HCS, QIES
Familiarity with CMS reporting, Statements of Deficiency (SODs), and DLA processes
